Director at Large - Programming Opportunity

The director at large (DAL) programming oversees implementation of all chapter events/programs.

General responsibilities for a DAL:

  • Manages the team (“committee”) of up to 15 depending on regional size
    • Responsible for securing, on-boarding and performance management of committee leaders and members
    • Ensures committee members are trained and have access to required tools and templates and compliance with HBA standard operating practices
    • Coaches and mentor’s committee members, supporting their professional development 
  • Manages specific area of responsibility
    • Works with other chapter leaders on planning and prioritization of activities related to her functional area
    • Provides area specific annual plans and objectives and monthly board reports on performance to Center of Excellence (COE) president and chapter operations director, respectively
    • Works with chapter vice president and regional finance team to set and manage the committee budget, if required 
  • Leads functional area 
    • Ensures functional area is represented in relevant COE meetings/conference calls
    • Ensures committee volunteers leverage and adhere to HBA standard operating procedures and when possible, provide ideas/input for process improvements 

Specific responsibilities for the role:

  • Develops program/event strategy for the chapter; oversees all aspects of event management for the chapter
  • Oversees implementation of all chapter events/programs
  • Builds robust cross-functional committee structure and strong volunteer committee leaders who plan and execute events
  • Creates and manages chapter programming budget and P&L. Works with regional treasurer to track performance
  • Ensures volunteers are trained and have access to all required tools, templates and policies
  • Complies and ensures volunteers adhere to HBA standards in:
    • Speaker recruitment and screening/panel preparation
    • Event feedback surveys (responsible for review only); leverage insights for future improvements
  • Directly manages the following committees with and through regional directors who are directly leading the committee (and possible sub committees):
    • Content and speakers
    • Event logistics
    • Sponsor/venue liaison

Chapter committee roles and responsibilities programming committees:

Content committee:

  • Finds and secures speakers, panelists, etc. as needed for event calendar. Works with them to ensure content aligns with expectations 
  • Works with regional team to leverage speaker repository and HBA network 
  • Works with corporate relations COE to engage corporate partner speaker pipeline

Event logistics committee:

  • Follows HBA standard practices and processes for event planning and implementation including:
    • Familiarity with marketing processes for event form and email marketing
    • Speaker agreements, other HBA forms, tools and resources
  • Manages cross functional team for event planning and execution 
    • With volunteering to secure event planning and execution team volunteers 
    • With marketing team to prepare event promotion pieces and drive attendance 
    • With Board on event agenda, agree ‘discounts’, speaker gifts, awards, etc. 
    • With other event committee members on onsite logistics/needs, materials, reconciliation

Sponsor/venue liaison committee:

  • Locates local venues as needed for networking and dine around events 
  • Works with corp relations COE to secure for larger venues, sponsorships 
  • Functions as conduit into the chapter for corporate partner programming needs, opportunities 
  • Liaises with venue/sponsor company during the event planning process on logistics, alignment and satisfaction

Time requirements:

  • Approximately 4 – 10 hours per month in total
  • 4-6 hrs per month managing her team
  • 2-4 hrs per month coordinating and aligning activities across the region and with HBA staff, 1-2 hours per quarter in global functional meetings/forums
